Website prompt tools

When you use the website generator or optimizer, SecondBrain receives the information entered into the tool. Depending on the tool, this can include a rough prompt or goal, audience, reference context, constraints, examples, instructions about what to keep or avoid, and the requested output format.

We combine those fields into a prompt-processing request and send it to our optimization service. The service returns a generated or optimized prompt. Prompt content is submitted only when you select Generate or Optimize.

Website prompt requests are processed to complete the request and are not added to the extension optimization records described below. The AI provider that processes a request may maintain service records under its agreement with us.

How we use information

We use information described in this policy to:

• generate, structure, and optimize prompts at your request;
• build context for context-aware prompt optimization;
• preserve and manage prompts you choose to save locally;
• improve prompt quality, compatibility, and context handling;
• keep SecondBrain secure, available, and working as intended;
• communicate with you when you email us; and
• comply with applicable law and enforce our terms.

We use information only for the product, operational, support, security, and legal purposes described in this policy.

Context used by the Chrome extension

The extension supports ChatGPT, Gemini, Claude, Perplexity, DeepSeek, Grok, Meta AI, and Microsoft Copilot. While active on one of these services, it sends user prompt and assistant response text to SecondBrain as the conversation occurs. This maintains the context used for prompt optimization. The extension starts active after installation, and you can disable or uninstall it at any time.

The extension may also process links or citations included in a response and basic context about the AI service and conversation, including model information, message role, and time. This information helps match prompts with responses and support the formats used by different chatbot services.

When you ask the extension to optimize a draft, recent prompt-and-response exchanges may be used to build context and design a context-aware prompt.

On pages other than the supported AI services, the extension does not read or send page content. Its website permission is used to offer the optional SecondBrain side-panel control.

Information used to operate the service

The extension uses a random installation identifier rather than a name or email address. Chrome also stores the technical information needed to operate the extension securely.

Our systems receive standard service information, such as IP address, browser and device information, dates and times, AI platform and model, and request outcomes. We use this information to operate SecondBrain, maintain compatibility, and troubleshoot issues.

Service diagnostics help us understand delivery and troubleshoot issues. They do not contain prompt text.

For an extension optimization, we keep a record of the draft and optimized prompt together with technical identifiers, platform and model information, timing, and service diagnostics. These records support service delivery, prompt-quality evaluation, and troubleshooting.

Cookies and website delivery

We use a first-party cookie and standard service information to keep the website secure and available. The cookie is not used for advertising and can be removed through browser settings.

The website does not use advertising trackers or behavioral-advertising analytics. Website delivery providers receive the network information needed to provide their services.

Saved prompts and browser storage

Prompts saved on the website are stored in that browser's local storage. A saved entry can include the original and optimized prompt, a title, mode, and local save time. The website keeps up to 12 entries, and you can remove them from the saved-prompt library or clear the site's browser data.

Prompts bookmarked in the extension are also stored locally in Chrome, together with their platform, model, and created or updated time. The extension does not currently sync bookmarks to a SecondBrain account. You can edit or delete them in the extension, clear the extension's storage, or remove the extension.

Personalization fields used in the public prompt-template library remain in the page while you work and are not submitted to SecondBrain. Copy and share controls send information only to the clipboard or destination you choose.

Service providers and disclosures

Prompt generation and optimization are supported by AI service providers. Depending on current configuration and availability, OpenAI, Google Gemini, or Anthropic Claude may process a request. They receive the current prompt and, for extension requests, the recent context described above.

We also use providers that support website delivery, network security, infrastructure, databases, messaging, fonts, and email. We provide each service provider only the information needed for its role. Their handling of that information is governed by their agreements with us and applicable law.

AI chatbot websites where you use the extension are separate services. Their handling of conversations and account information is governed by their own terms and privacy policies.

We may disclose information when required by law, to respond to valid legal process, to protect users or the service, or as part of a business transaction subject to applicable notice or consent requirements.

Information sharing and access

We do not sell personal information, share it for cross-context behavioral advertising, or provide prompt or conversation content to advertising services.

Access to prompt and conversation content is limited to authorized people and providers with a legitimate need to operate or secure the service, address misuse, comply with law, or assist with a support request.

SecondBrain's use of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements.

Data retention

Website saved prompts remain until you delete them, they are displaced by the library's 12-entry limit, or you clear the site's browser storage. Extension bookmarks remain until you delete them, clear the extension's storage, or remove the extension. Website cookies remain until they expire or you remove them through browser settings.

Pending extension context and related diagnostic information may remain in browser storage until it is sent, removed, or the extension's data is cleared.

We retain context, optimization, and service records to provide and improve context-aware features, keep the service available and secure, resolve issues, and meet legal or recordkeeping requirements. These records are currently retained based on those purposes rather than a preset automatic deletion period. You may request deletion as described below. Operational logs, provider records, and backups may have separate retention periods.

Data security

We use safeguards that include encryption, access controls, secure credentials, and operational protections to protect the service and the information it processes.

Choices and privacy rights

• You can browse the public website without submitting a prompt.
• You can delete locally saved prompts from the website or extension and clear the related browser storage.
• You can manage website cookies through your browser settings.
• You can stop new extension context collection by disabling or uninstalling the extension.
• You can email us to ask about, access, correct, or delete information associated with you, or to object to or restrict certain processing.

Privacy rights vary by location and can include data access, correction, deletion, restriction, objection, portability, withdrawal of consent, and the right to complain to a local privacy authority. We will respond in accordance with applicable law. Because no account is required, we may ask for details needed to locate the relevant records and verify a request.

Legal bases and international processing

Where a legal basis is required, we process information to provide the service you request and perform our agreement with you; for legitimate interests in operating, securing, and improving SecondBrain's prompt-generation and optimization features; with consent where consent is the appropriate basis; and to meet legal obligations. You are not required to submit prompt content, but the generator and optimizer cannot produce a result without the text needed for that request.

SecondBrain and its providers may process information in countries other than your own. Where required, we rely on recognized transfer mechanisms and contractual safeguards.

Children's privacy

SecondBrain is not directed to children under 13, and we do not knowingly collect personal information from a child under 13. If you believe a child has provided information to us, contact us so we can review the situation.

Related agreements

Our Terms & Conditions describe the rules for using SecondBrain, and our Operating Agreement explains how we aim to operate the service. This Privacy Policy governs our information practices.

Changes to this policy

We may update this policy when the product, providers, or legal requirements change. We will post the revised policy here, update the date above, and provide additional notice or request consent when required for a material change.
