The thinking behind the templates
Why this structure works.
- 01
Evidence before wording
Job-specific cards separate the employer's requirements from your career facts. Source quotes make the intended support inspectable; they are not independent verification.
- 02
Changes have boundaries
Section cards request limited edits, and the update card distinguishes additions from confirmed corrections. These instructions are designed to make comparison with your original manageable, not to guarantee preservation.
- 03
Unknowns stay visible
The cards direct missing results, unsupported skills and conflicting dates into separate verification notes rather than treating them as permission to invent. Resolve those notes before using the copy.
- 04
Each card stands alone
The selected prompt includes its own task, inputs and factual and privacy rules. You do not need to carry over a master instruction from another chat, but you still need to check whether the model followed it.
How to use
- 01
Choose the immediate job. Use the base card for a complete version tied to a posting, a section card for a narrow edit, or the review card when you want findings rather than a replacement. If you have no resume yet, start with your factual notes.
- 02
Gather only that card's inputs. Paste readable resume text, relevant career facts and the full posting where requested—not a document link. Remove contact details and information you are not authorized to share before pasting.
- 03
Set the boundaries that matter. Identify official titles or terms to retain, describe your contribution to team work, and supply a word limit only when needed. Leave optional fields blank rather than inventing context.
- 04
Customize the selected template, copy the complete filled prompt and run it in ChatGPT or your chosen text model. The cards work from what you paste; they do not assume uploads, browsing or previous conversation history.
- 05
Compare the proposed copy with your records, resolve held claims and read it aloud for natural wording. Move only approved text into your resume document, restore contact details locally, and inspect the exported file before submitting.
Run a quick quality check.
Ready-to-use checklist
- Trace every changed qualification or result to candidate material; a phrase in the job posting is not evidence of your experience.
- Confirm that numbers retain their units and measurement periods, and that a team result has not become a solo achievement.
- Compare titles, employers, dates and credential status with the original, accepting replacements only when an explicit correction supports them.
- Check that coursework, volunteering and related experience have not become professional expertise or a different named tool.
- Verify that useful role evidence survived shortening and that conflicts, missing facts and important cuts are visible outside the copy.
- Keep source maps, questions and unresolved placeholders out of the submitted resume; inspect the final document for readable headings, intact text and correct contact information.
Small choices that improve the result.
Make it stronger
- Record the boundary of your contribution before prompting: what you wrote, maintained, reviewed or supported, and what someone else owned.
- Supply the posting's responsibility and qualification sections so the comparison has explicit criteria, not just a job title.
- Keep a factual master record separate from polished resume versions. Carry only reviewed claims into the next card's inputs.
Common mistakes
Inventing a number to complete a bullet
use a truthful action and supported context now, then add a result only when you can substantiate it.
Letting the posting become your work history
keep unsupported requirements in the gap list and confirm your own evidence before adding a term.
Overwriting a prior role during a promotion
provide separate dates and explicit corrections, then inspect the update log and earlier entries.
Accepting stronger verbs as harmless polish
compare the meaning of 'supported,' 'coordinated' and 'led' with your actual responsibility before choosing the wording.
Further guidance
Build a factual input record
Start with material you can describe accurately, even if it is not paid employment. UTSA's resume template includes education, projects and community involvement alongside work experience. Keep those categories honest instead of turning a class project into a professional engagement. (careercenter.utsa.edu)
Use this original checklist to organize scattered notes for the first-resume, bullet or summary card. A missing result is useful information; it is not a request to invent one.
- Activity and type: identify the job, internship, class project, personal project or volunteer activity.
- Dates and status: record actual dates and whether a degree or credential is completed, expected or in progress.
- Your contribution: state the action you personally took and what teammates or a manager owned.
- Tools and method: name what you actually used and whether it was coursework, practice or work experience.
- Scope and result: record supported context, a measured result with its unit and period, or 'not measured.'
- Boundaries and uncertainty: identify confidential details, unclear facts and claims you cannot yet support.
Working with PDF resumes and ATS keywords
These cards return text, not a PDF resume or a file-validation result. If your resume is a PDF, paste its readable text and compare that extract with the original before requesting edits. A keyword map addresses wording; it does not establish how an employer's applicant tracking system (ATS) will parse your file.
Greenhouse documents possible parsing problems with image-based resumes, columns, complex tables, graphics, headers and footers. These are examples from Greenhouse, not proof that every system behaves identically or that a simple-looking file will always parse correctly. (support.greenhouse.io)
- Follow the application's stated file requirements when exporting the approved resume from your document editor.
- Inspect the exported file for broken headings, clipped text, awkward page breaks and altered characters.
- Copy the export's text into a plain-text editor to look for missing fields or scrambled reading order. This is a sanity check, not an employer-system test.
- If the application displays parsed fields, inspect and correct them before submitting rather than relying on a keyword percentage.
Keep career breaks factual and optional
Do not invent employment to fill a timeline. Preserve your real dates and decide what, if anything, you want to explain. A visible interval does not authorize the model to infer a personal reason for it. Follow explicit application questions separately; this guidance concerns the resume narrative, not permission to omit required answers.
Choose the treatment that matches your actual situation and disclosure preference. Supply that decision in the keep-and-avoid rules; the model should not decide what private history you are willing to share.
- Leave the interval without an explanation when you do not want a break entry; do not alter surrounding employment dates.
- If you choose a brief break entry, provide the dates and neutral factual wording yourself. Do not add health, family or other private details by inference.
- Include projects, courses or freelance work during the period only if they actually happened, with accurate dates and activity labels—not as invented consulting.
What it's for
Match the prompt to the job.
What this helps you do
- A job-specific resume draft with a source-backed edit log and a separate list of gaps to confirm.
- Concise bullets and summaries based on the actions, context and results you can actually support.
- A requirement map or prioritized review that separates safe wording edits from missing evidence.
- A controlled resume update or accompanying cover letter with explicit consistency checks.
Who it's for
Find the right fit for your task.
Have a current resume and a job posting? Start with Tailor your resume to one job. For a summary, bullet rewrite or review, choose that card instead of rebuilding everything.
Each template includes its own factual boundaries. Supply sanitized text, keep verification notes separate from submission copy, and check the draft against your records before using it.
Applicants with a specific posting
Use your existing resume and the employer's stated requirements to request a relevant version without borrowing qualifications.
First-time job seekers and freshers
Turn real education, projects, volunteering and limited paid work into a clearly labeled first draft.
People changing fields
Translate supported experience into understandable terms while keeping past titles and genuine skill gaps intact.
Professionals with new responsibilities
Add a promotion, project or confirmed correction without quietly overwriting earlier history.
Job seekers reviewing an AI-edited draft
Locate inflated claims, unclear ownership or generic wording before accepting another rewrite.
FAQ
Are these prompts tied to GPT-4?
No prompt names a required model or depends on browsing or upload tools. These are plain-text instructions, not a comparison of model versions. Use the factual checks on the result rather than treating a model name as proof of accuracy.
What if I do not have achievement metrics?
Use a precise action, method and supported context instead of adding a percentage. The bullet card can write without a result when none is supplied. UTSA's guidance calls for quantifying where applicable; it does not make a number mandatory for every bullet. Keep an unmeasured result unmeasured and gather real evidence before adding it. How should I protect my resume data in ChatGPT?
Remove personal contacts and confidential material before pasting, and check the controls available to your account. OpenAI says that turning off Improve the model for everyone under Settings > Data controls excludes new conversations from model training. It does not delete or hide saved chats, and submitting feedback can allow the associated conversation to be used for training. These settings are not a substitute for redaction or permission to share employer information. (help.openai.com)

How do I keep a cover letter consistent with my resume?
Start with a reviewed resume and the same job posting, then use Write a matching cover letter. Its separate claim check is intended to expose changes in titles, numbers, tools and ownership. MIT recommends using resume and posting context and warns that AI may oversell or invent qualifications. Supply your genuine reason for applying and revise the letter into your own voice before using it. (capd.mit.edu)
